Your company record sits behind Settings → My Company. In Cargolake a company is called a legal entity, and it is the boundary around everything you work with: shipments, quotations, invoices, customers, ledger accounts and users all belong to it. You only ever see your own company's data. Reference data such as countries and ports is shared.
What the record holds
| Field | Notes |
|---|---|
| Name | The everyday trading name shown throughout the app. |
| Legal name | The registered name as it should appear on documents. |
| Registration number | Commercial registration / company number. |
| Country | Drives the phone number format. |
| Phone | Prefilled with the country's dialling code. |
| Primary email | The company's main contact address. Validated and stored lowercase. |
Getting the legal name and registration number right matters more than the rest — they are the details that end up on documents customers and authorities read.
The owner
Every company has at most one owner: the account ultimately responsible for it, and the natural contact for membership and billing questions. The owner is shown on the company page and can be changed there.
Changing the owner moves no data and does not strip the previous owner of their roles.
Members
The page lists the people who belong to your company. Add member offers two routes:
- System member — pick an existing account from the list.
- Invitation email — enter an address and get an invitation link to send. See Inviting people to your company.
Removing a member takes away their access to your company's data. It does not delete their user account, and it does not remove anything they created.
Seats
Where a subscription applies, your company has a seat count, and the page shows seats used against seats available. Each member occupies one.
When every seat is taken, adding a member is blocked with the count shown — "Seat limit reached (5/5). Upgrade your plan or remove a member." Free a seat by removing someone, or increase the subscription. Removing a member releases their seat immediately.
Two related refusals:
- "An active subscription is required to add members." A lapsed or past-due subscription stops you adding people, which is the first practical effect of letting one go unpaid.
- "Seat policy is unavailable." The seat rules could not be read — a system problem rather than a limit. Retry, and escalate if it persists.
One person, one company
A user belongs to exactly one legal entity — "User already belongs to a legal entity" / "Member already has a legal entity". Someone who genuinely works across two companies in a group needs a separate account for each.
An entity also has at most one owner: "Legal entity already has an owner: …", naming them.
Subscription status
| Badge | Meaning |
|---|---|
| Active | Paid and in good standing. |
| Trialing | Inside the trial period. |
| Past due | Payment has failed or is overdue. This needs attention — access can be affected if it is left. |
| (no badge) | No subscription is attached. |
Billing itself is handled on the subscription page reached from the company record.
What you cannot do here
- You cannot create additional companies. A group operating several forwarding companies is set up by Cargolake, not self-service.
- You cannot see or affect any other company's data, including group siblings.
- You cannot change your own roles from here — permissions come from roles, covered in Building roles.
